JOB SUMMARY

Under the general direction of the Associate Development Director-Annual Giving, the Annual Giving Associate is responsible for a variety of tasks that directly support the Associate Development Director-Annual Giving, the Database Manager, the Director of Alumni Relations, and the Development Office.

ESSENTIAL FUNCTIONS

  • Manages daily gift receipt process.
  • Manages and executes daily gift acknowledgement process.
  • Provides support to the Associate Development Director-Annual Giving:
    • Generates solicitation appeal mail merges, email campaigns, and pledge reminders.
    • Crafts simple and complex queries from development database for a variety of correspondence, reports, and fundraising materials.
    • Assists in crafting correspondence, data representation, and presentation materials for volunteer committees and special activities.
    • Assists with the planning and management of all Annual Giving events including but not limited to volunteer outreach, meetings, and special events.
    • Plans and executes certain components of our annual giving campaign.
    • Manages invoice processing and credit card reconciliation for Annual Giving program.
    • Manages matching gift program.
  • Assists the Database Manager with the research and maintenance of constituent records to ensure data accuracy with regards to postal and email addresses, telephone numbers, name changes, and employment information.
  • Under the direction of the Director of Alumni Relations, executes certain components of our reunion giving campaign.
  • Provides an assortment of administrative support for the Alumni & Development Office.
  • Interacts with a diverse group of alumni/ae, parents, guests, and employees in a pleasant, professional manner.
  • Other projects and responsibilities may be added at the School’s discretion.

JOB REQUIREMENTS AND QUALIFICATIONS

  • Requires a combination of education and experience equivalent to 3 years of administrative experience. Bachelor's degree preferred. High level of discretion and interpersonal skills to handle sensitive and confidential situations.
  • Ability to pay continual attention to detail and accuracy in all areas of responsibility.
  • Strong proficiency in a variety of computer software applications; specifically, but not limited to Microsoft Office and Google Suite. Strong proficiency and experience working with databases.
  • Strong proficiency with mail merges.
  • Proven ability to establish priorities and meet deadlines in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Excellent customer service and telephone etiquette skills with proven knowledge of how to work effectively and professionally with all levels of internal and external clients.
  • Ability to work additional hours when needed, some evening and weekend work may be required.

OTHER INFORMATION

  • A criminal history and background check is required and must be successfully completed.
  • Generally works in standard office conditions and climate.
  • May work at a desk and computer for extended periods of time.
  • May work in varied extreme outside weather conditions during special activities and fundraising events.
  • Light physical activity. Work may involve occasionally assisting others in the manipulation of heavy objects and some standing or walking for extended periods of time.
